Best CAFM Software 2026: An Honest Ranking From Outside

Best CAFM software compared by a company that does not sell one. Nine CAFM systems, what each is strongest at, and where every one of them falls short.

We do not sell CAFM software. FrostLogic builds an analytics layer that sits on top of whatever building systems you already run, so we have no product to put at number one and no reason to bend the list. That matters more than it should, because almost every page ranking for "best CAFM software" today is published by a CAFM vendor, and every one of them concludes that the vendor writing it is the best CAFM software. One of the top results states outright that its own product is the number one CAFM system. Another opens with a short answer that happens to name its own two products first.

So here is the ranking from outside the category. Nine systems, what each is actually strongest at, and a column no competing page publishes: where each one falls short. We are not in the table. Our own product does a different job, and there is a section further down that says plainly when a CAFM system is the right buy and we are not.

The short version

If you run a large, multi-country property portfolio and need space, assets, maintenance and workplace in one platform, the shortlist is Planon, IBM Maximo and Archibus. If you run a UK service or helpdesk operation with SLAs and subcontractors, MRI Evolution (formerly FSI Concept Evolution) and Service Works Global are the natively British answers. If the estate is smart-building heavy and you want IoT and energy data in the same system as the work orders, Spacewell and Facilio are built that way. If you are a mid-market team of five to fifty and the enterprise tools feel absurd, Infraspeak is the one to look at. There is no single best CAFM system, and any page that gives you one name is selling it.

None of these are ranked by quality. They are grouped by fit, because fit is the only thing that changes the answer.

CAFM, CMMS and IWMS: what the labels actually mean

The three terms overlap enough that vendors use them interchangeably, which is how you end up with a "best CAFM software" list containing six pure CMMS products. Keep the distinction functional.

Computer aided facility management is the older, mostly European name for the middle row. All three are forms of maintenance management with different amounts of the building bolted on. IWMS is the analyst term for the widest row, and the market has largely collapsed CAFM and IWMS into the same shortlists. Practically: if you need lease accounting and capital project tracking, you are shopping for IWMS and Planon, Archibus and Maximo are the names. If you need work orders and a compliance log, a CMMS is cheaper and faster. CAFM sits in the middle and is what most in-house facilities teams actually want.

The nine systems

Enterprise portfolio tier

Planon. The most complete CAFM system on this list and the one most often shortlisted for multi-country corporate real estate. Property management, space and workplace, maintenance, field services, energy and sustainability reporting all live in one data model, which is why large organisations with both a real estate function and an FM function keep landing on it. Its integration surface is broad, including BIM, IoT feeds and finance systems. The cost of that breadth is implementation weight: a Planon programme is measured in quarters, not weeks, because every module you switch on needs data, process definition and a configured workflow. Budget for an implementation partner and an internal Planon owner.

IBM Maximo. Maximo, which absorbed the TRIRIGA real-estate lineage into IBM's wider portfolio, is the asset-heavy end of the market. If your estate contains manufacturing lines, hospital plant, airport infrastructure or utilities alongside the buildings, Maximo's asset hierarchy, failure coding and reliability reporting are stronger than anything built primarily for offices. It also carries genuine industrial depth in condition-based and predictive maintenance. Where it falls down is the ordinary CAFM job. For desk booking, space planning and a friendly helpdesk on a pure office estate, Maximo is a lot of machine for the work, and the licensing model, which has moved through several shapes, is difficult to forecast three years out.

Archibus (Eptura). Archibus has been the space-and-drawings system for decades, and it remains the one to beat if your primary problem is floor plans, occupancy, chargeback and moves. It reads CAD and BIM properly, and the space data model is genuinely deeper than the space module bolted onto a maintenance product. Since the Eptura merger it sits alongside a broader workplace suite, which helps roadmap confidence but has added product-naming confusion. The limitation is the other half of the job: maintenance, helpdesk and contractor management are competent rather than leading, and the CAD and IFC import work needed to make the space data trustworthy is a project in its own right, not a configuration step.

UK service and helpdesk tier

MRI Evolution, formerly FSI Concept Evolution. The default answer to "what is the best CAFM system in the UK" for a reason. FSI built Concept Evolution around British FM service delivery, and after the MRI acquisition it kept that shape: helpdesk, SLA clocks, contract and subcontractor management, planned maintenance against SFG20, mobile engineer apps. If you are an FM service provider billing against contracts, or an in-house team that behaves like one, the workflows match what you already do rather than needing to be bent into shape. The limitation is the mirror image of the strength. It is a UK product for UK practice, and a rollout across several European countries with local compliance regimes and languages will need more work than a platform built multi-country from the start.

Service Works Global (QFM). The other British name that appears on almost every UK shortlist, particularly in public-sector and PFI estates, where QFM's contract performance and payment mechanism handling is a genuine differentiator that generic products do not have. Strong on helpdesk, asset compliance and CAFM reporting for regulated estates. Where it falls short: the interface shows its age against newer entrants, and the workplace and space side is thinner than Archibus or Planon, so a space-led buyer will find it narrow.

Smart-building and data-led tier

Spacewell (Nemetschek). Spacewell is what an IWMS looks like when the vendor also sells sensors. Occupancy sensing, workplace apps, meeting-room use and maintenance sit in one product, so the utilisation data driving your space decisions is collected by the same platform that runs the moves. For hybrid-work estates trying to justify a footprint reduction with evidence rather than assumption, that is a real advantage. The catch is that the sensor-led features assume sensor hardware, and if you already have a building management system with the data you need, you may be paying for a second collection layer.

Accruent FAMIS 360 and EMS. Accruent's strength is the sectors it knows: universities, hospitals, schools and public estates. FAMIS 360 handles facilities maintenance, capital planning and space; EMS handles room, resource and event booking, which is exactly the problem a university has and a corporate office mostly does not. Together they cover a campus well. The honest limitation is that they are two products with two heritages. Buying both means paying for both and integrating them, and Accruent's own best-of pages, which rank these first, do not spell that out.

Facilio. The most modern-feeling platform here, built around connected buildings: it ingests BMS and IoT data, applies fault detection, and drives maintenance from what it finds rather than from a calendar alone. If you want a CAFM that is analytics-first, this is the closest the category gets. It is also the vendor behind the most-linked "best CAFM software" article on the internet, in which it ranks itself first and fills the remaining slots with CMMS tools such as eMaint, FMX and Hippo, none of which are CAFM systems in any useful sense. Where Facilio falls short is track record: large migrations off a decade of legacy CAFM data are where maturity shows.

Mid-market tier

Infraspeak. The one on this list a fifteen-person facilities team can actually deploy. Mobile-first, quick to stand up, sensible per-user pricing you can see before a sales call, and a marketplace approach to integrations rather than a bespoke integration project. For single-site and small-portfolio operators it removes the main reason people stay on spreadsheets, which is that the alternative looked like a nine-month programme. It is not an enterprise IWMS: portfolio real estate, lease data and serious space planning are shallow, and an estate of two hundred buildings will outgrow it.

Adjacent mid-market names if the nine above are the wrong size: Trackplan, BigChange, Snapfix, UpKeep and Access Maintain, all closer to CMMS than CAFM.

When a CAFM system is the right buy and we are not

Plainly: if your problem is any of the following, buy a CAFM or CMMS system from the list above, not our product.

  • Raising, assigning, tracking and closing work orders
  • Planned preventive maintenance schedules and statutory compliance logs
  • Space management, occupancy records, moves and desk booking
  • Helpdesk ticketing with SLA clocks and contractor dispatch
  • Asset registers, warranty tracking, spares and labour costing

FrostLogic Explore does none of those jobs. It is not a CAFM system and it is not a CMMS. It has no work-order engine, no PM calendar and no space module, and we have no plan to build them, because nine companies above already do it well and one of them is right for you. If you are choosing your first facilities system, this article should end with you talking to a CAFM vendor.

What CAFM does not do

Every system above is a system of record. It stores what was scheduled, what was raised, who attended, what it cost and when the next inspection is due. That record is necessary, and a facilities function without one is guessing.

What it does not do is watch the building. A CAFM system does not read your BMS trend logs, your energy meters and your IoT sensors continuously, work out that an air handler has been running full-fresh-air since a schedule change in March, price that in kilowatt-hours, and put it above the low-value ticket sitting at the top of your queue. It records what humans and calendars told it.

That gap is where a sensor-intelligence layer sits. It reads the data your existing systems already collect and returns a prioritised queue of decisions with the evidence attached, then hands the resulting work to the CAFM system you already bought. How to choose

Six questions, in the order that actually decides it.

  1. Which functions are must-have in year one? Write the list before you see a demo. Every product on this page will demo beautifully against a list you write during the demo.
  2. How many sites and users at three years, not today? The mid-market tools are excellent until the estate doubles. Licence models that look cheap per user get expensive at two hundred engineers.
  3. Which integrations, by name? Your finance system, your HR directory for occupancy, your BMS, your access control. "Open API" is not an answer. Ask for a named reference customer running that exact integration.
  4. Cloud or on-premises, and is that a real constraint? Most buyers who insist on on-premises are describing a policy nobody has revisited since 2018. If it is real, it removes several options immediately.
  5. What is total cost of ownership over five years? Licences, implementation partner, data migration from whatever you run now, CAD and asset data cleanup, training, and the internal time all of that consumes. Migration and cleanup are routinely the largest line and almost never appear in the quote.
  6. Who owns it internally? A CAFM system without a named internal owner degrades into an expensive work-order inbox within eighteen months. This is the question that most often predicts failure, and no vendor asks it.

If the answers point at the enterprise tier, expect a procurement and implementation cycle of six to eighteen months. If they point at the mid-market tier, expect weeks. Choosing the wrong tier for your size is a more expensive mistake than choosing the wrong vendor within the right tier.

FAQ

What is the best CAFM system in the UK? For UK FM service delivery, MRI Evolution (formerly FSI Concept Evolution) and Service Works Global QFM are the two most consistently shortlisted, because both were built around British contract and SLA practice. For UK organisations with a corporate real estate function rather than a service desk, Planon and Archibus are the more common answer. There is no single best system, only the best fit for your estate size and the job you are buying it for.

What is the difference between CAFM and CMMS? A CMMS manages equipment maintenance: work orders, planned maintenance, spares and labour. CAFM covers that and adds the facility itself, so space and occupancy records, helpdesk, contractor management and room booking. If your problem is only plant upkeep, a CMMS is cheaper and quicker. If you also manage space and services for the people in the building, you want CAFM.

What is the difference between CAFM and IWMS? IWMS is the wider category. It includes everything CAFM does and adds real-estate portfolio functions such as lease administration, capital project management and property financials. In practice the market has merged the two: Planon, Archibus and IBM Maximo are sold as IWMS and appear on every CAFM shortlist. Ask whether you need lease and capital project data. If you do not, you are buying CAFM.

How much does CAFM software cost? Enterprise CAFM and IWMS are quoted per module and per user and are almost never published, so a comparison needs your own scoped quotes. Mid-market tools publish per-user pricing. The number that catches buyers out is not the licence, it is implementation: data migration, CAD and asset register cleanup, integration work and training routinely cost as much as or more than the first year of licences.

Is there free CAFM software? There are free and open-source CMMS tools, and several vendors offer free tiers limited by user count or assets. There is no credible free CAFM system for a real multi-building estate, because the cost is in implementation and data rather than software. A free tier is a reasonable way to test a maintenance workflow before you buy, and not a way to run an estate.

Can you give an example of a CAFM system? Planon, Archibus, IBM Maximo, MRI Evolution, Service Works Global QFM, Spacewell, Accruent FAMIS 360, Facilio and Infraspeak are all CAFM or IWMS systems in active use. A typical deployment holds your building and floor records, an asset register, a planned maintenance calendar, a helpdesk for reactive requests and a mobile app for engineers, all against the same asset and location data.

Do I still need a CAFM system if I already have a BMS? Yes. A building management system controls plant: schedules, setpoints and alarms. It has no concept of a work order, a contractor SLA, a space chargeback or a statutory compliance record. They solve different problems and neither replaces the other.
