What Is Maintenance Management?

Maintenance management is the practice of planning, scheduling, and tracking the work that keeps a building's equipment running safely, reliably, and within budget, from reactive repairs to predictive interventions.

What maintenance management means. Maintenance management is the discipline of planning, scheduling, and tracking the work that keeps a building's equipment running: HVAC plant, electrical systems, life-safety devices, lifts, and everything else that keeps a building compliant and its occupants comfortable. It spans deciding what gets serviced, when, by whom, and at what cost, across a portfolio's whole equipment inventory.

How it works. A maintenance programme balances four objectives that pull against each other: reliability, so equipment does its job when needed; cost, keeping labour, parts, and downtime within budget; lifecycle, so assets reach or exceed their expected service life; and safety, keeping life-safety and regulated systems compliant. The programme sets maintenance intervals, tracks work as it's completed, and feeds the results back into how the next round of intervals gets set.

Maintenance management vs asset management. The two overlap but answer different questions. Asset management is the wider discipline: what equipment to buy, when to replace it, and how it fits a portfolio's capital plan. Maintenance management is the narrower, operational layer underneath it, keeping the equipment you already have running between those capital decisions. The O&M manual is where a maintenance programme starts, the equipment data, commissioning setpoints, and service intervals a contractor hands over at project close. The BMS is where a lot of that programme runs day to day, scheduling and logging the work against the systems it controls.

Standards and frameworks. ISO 55000 sets the international framework for asset management, with maintenance management sitting inside it as the operational discipline that keeps assets performing to plan. Regulated buildings layer on their own maintenance obligations: fire and life-safety inspection cycles, statutory lift and pressure-vessel testing, and the servicing schedules that keep warranties and insurance valid. None of these frameworks dictate a specific maintenance management tool, they set the outcomes a programme has to hit.
